Accounting in Madrid: outsource your bookkeeping and focus your energy on the business
Madrid-based businesses face a common paradox: accounting is indispensable for understanding the true state of the business, meeting tax obligations, and accessing financing, yet maintaining a competent in-house accounting department in Madrid carries a high fixed cost. A senior accountant in Madrid earns on average 35,000-45,000 euros per year, with a total employment cost of over 50,000 euros, not counting software, ongoing training, and technical supervision. For most Madrid SMEs, this cost is not justified when invoice volumes and transaction activity do not require a full-time employee. The real problem, however, is not only cost: it is quality. Accounting maintained with delays, incorrect entries, or inappropriate accounting criteria distorts the true financial picture of the business, generates errors in tax filings, and can create problems in the annual accounts that the Madrid Commercial Registry rejects for inconsistencies. The proximity of the AEAT's Delegacion Central means Madrid businesses are subject to a higher level of scrutiny than elsewhere in Spain: impeccable bookkeeping is the first line of defence in any review.

Our solution
At BMC we provide an external accounting service in Madrid covering all of your company's accounting needs: maintaining the journal and general ledger, recording issued and received invoices, monthly bank reconciliations, payroll and Social Security accounting, calculation and filing of periodic taxes, monthly and annual close, preparation of annual accounts, and filing at the Madrid Commercial Registry. How we do it
Initial accounting diagnosis
We review the current state of your accounting: accounting books, outstanding reconciliations, filings already submitted, and annual accounts deposited at the Madrid Commercial Registry. We deliver a report on the actual position and the corrective actions needed to bring the accounting fully up to date.
Service implementation
We agree the documentation delivery method (email, document management system, or physical collection where required), configure the accounting software, import historical data where available, and set up the monthly close and tax filing calendar. A dedicated accountant who will come to know your business in depth is assigned from day one.
Monthly accounting management
Each month we record all issued and received invoices, carry out bank reconciliations, calculate the VAT and withholding tax settlements for filing before each deadline, and send you a financial position report covering the period result, key ratios, and month-on-month evolution.
Annual close and Commercial Registry filing
We carry out the year-end accounting close, calculate accrual adjustments, depreciation, and provisions, prepare the annual accounts (balance sheet, profit and loss account, notes, and where applicable the statement of changes in equity and cash flow statement), submit them for shareholder approval, and handle the filing at the Madrid Commercial Registry on time, avoiding penalties for late submission.
Our accounts were in complete disarray. An employee had left and nobody had maintained them for months. BMC regularised everything, filed the overdue accounts at the Commercial Registry, and for three years now we have had no problems whatsoever. The cost is half what the employee used to cost us and the quality is far better. (anonymised case)
Accounting in Madrid: the foundation of a well-managed business
Accounting is not just another administrative task: it is the information system that allows a company’s shareholders and managers to understand the true state of the business, make decisions based on reliable data, and meet their legal and tax obligations. In Madrid, where economic activity is more intensive and formal requirements are more demanding, maintaining accurate, up-to-date accounting is the difference between managing a business with clarity and operating in uncertainty.
The AEAT’s Delegacion Central, based in Madrid and responsible for large companies and groups with the highest turnovers, is the country’s most active body for tax reviews. But even Madrid SMEs fall under the Delegacion Especial de Madrid, which is equally active in IVA and Impuesto de Sociedades reviews. Orderly bookkeeping, with all entries supported and reconciliations kept current, is the best shield against any action by the tax authorities.
Commercial Registry of Madrid: annual accounts filing and penalties
The Registro Mercantil of Madrid is the busiest in the country by number of registered companies and transactions. The annual filing of cuentas anuales is a legal obligation for all commercial companies, and failure to comply has serious consequences: the closure of the company’s registered sheet prevents the recording of any subsequent act (director appointments, share transfers, statutory amendments), and ICAC sanctions can reach 60,000 euros.
At BMC we manage the annual accounts filing for our clients at the Madrid Commercial Registry every year, ensuring that deadlines are met and that submitted documentation is accepted without incident.
Accounting for startups and newly formed companies in Madrid
Madrid is Spain’s main startup hub, with a high concentration of technology companies in areas such as the Salamanca district, the Principe de Vergara corridor, the Cubo de Alcobendas, and the Madrid Technology Park. Startups have specific accounting requirements: recording investment rounds (capital increases, participative loans), accounting for stock options, distinguishing between capitalised R&D expenditure and current operating expenses, and preparing accounts for investor due diligence.
Our accounting team in Madrid has specific experience with startups and technology-based businesses, and we coordinate with our tax advisors to apply R&D tax credits and incentives available to innovative companies.
Integration with tax and employment advisory
The advantage of outsourcing accounting to BMC, compared with an independent accounting firm, is the seamless integration with our tax and employment advisory teams. Accounting information flows directly to the tax team for tax preparation, and payroll and Seguridad Social data from the employment team feeds into the accounts without duplicating work or introducing transfer errors. A single point of contact for all your periodic obligations.
